A word of truth given: SAP Folder Management does not work "out-of-the-box"!

Pure document management has never been SAP's domain and to provide for true document management within side SAP, properly implementing DMS requirements, such as scanning and well done integration into the desired modules does take some extra effort.

We at eworks did choose to turn these items into building blocks, that we deliver alongside our projects. Our approach is not to start on the "green field" over and over again. To our advantage, SAP Folder Management is "plug-and-play" by customizing and we do lever on that.

 

Our building blocks are:

  • An extension to the Service Provider for Documents, enabling inline scanning with every TWAIN compatible device.
  • An extension to the Case to allow links to multiple business objects in range via the Generic Object Services and Business Object Relations
  • An extension to the Case to provide custom functions (SAP forgot the customer BADI, we plugged it in). Functions could be:
    • Access to other transactions or reports in the context of the business process
    • Printing of documents through Smartforms, SAPscript or other methods of printing, converting the output to PDF at the same time and storing it into the record as a document.
  • Legacy document migration - do give us your files and we do import them! Example given with a previous project: 1 million documents in net 5 days! (The challenge there: SAP system sitting in Germany, the content repository sitting in Malaysia).
    • Document Migration is a pure matter of customizing a process - no programming required
  • A new service provider for "line items" - we did take out the business object from the record, as the detail presented in the record usually is not enough. Within this custom Service Provider you can add any level of detailed display to business objects related to your case or record.
    • A good set of BADI exits provide you with options to implement your own business logic alongside these line items
    • Each line item again can be linked to a document service provider, such as SP Document or SP Note, to provide for further information.
    • Each line item can have its own navigation to and from the case to the business object and reverse

Many of the items also work with the classic record! Typically we do recommend a choice of using either the case or the record on site and by the requirements given.
