SAP Folder Management can be your perfect tool to manage front office business processes!

Just think of processes like

  • Customer Service
  • Complaint Management
  • Reimbursement Filing

Where ever a process is document and time driven, SAP Cases are perfect to collect data and documents and route them into the organisation.

One of the plenty scenarios, that eworks consultants did cover in their projects building a Land Management solution for the City of Cape Town in South Africa is "Rates Clearance". This process covers the steps of clearing outstanding payments and conditions on a property before being able to sell it. A conveyancer usually performs this task for the seller and time lines are pretty strict:

  • Once applied for a rates clearance, the outstanding payments and conditions need to be paid and cleared within 30 days
  • Once cleared, a certificate is issued, allowing the seller to perform a sale. The certificate is valid for 120 days
  • If needed, it can be extended for another 120 days

From a SW developing perspective, it is a play with dates and status of case attributes! At the date of application for a rates clearance, a forward calculation is performed estimating the possible due dates:

  • Application date plus 30 work days equals desired due date for clearance.
  • Once cleared, desired due date for clearance turns into cleared date
  • Cleared Date plus 120 work day then equals validity date of the certificate rendered
  • If extended, extension application date equals the new validity date

Using a little of custom code within two BADI's of the SAP Folder Management can implement this easily.
